Why should you use virtual conferences?

Emerging from the restrictions on government travel during the pandemic and limitations on real-world conference attendance, PowerTrain offers the solution of the virtual conference. Our custom virtual conferences offer the opportunity for Federal employees to attend events virtually, from their desktops at the office or at home. By utilizing Adobe Connect, the virtual conference environment supports live and pre-recorded presenters, chat features, live Q&A sessions, and much more. Session recording and archiving are available as well to extend the life of your event.

Next time you need a conference solution, think virtual — and think PowerTrain.

We create conference registration websites that can be easily customized for you. In addition, for those attending the in-person part of any conference, we employ detailed checklists for key elements such as shipping, setup, catering, rooms, corporate sponsorships, and conference shutdown.

PowerTrain has supported a number of Federal agencies in designing, coordinating, and overseeing conferences — including the OPM Benefits Officers Conferences — since 2002.

On April 15 and 16, 2015, PowerTrain provided support services for the OPM Virtual Human Resources Training Conference attended by over 2,400 Federal employees. The conference consisted of 55 interactive one-hour presentations complete with video, audio, chat, Q&A, audience surveys, and on-camera delivery by content experts. In addition, the conference featured three live-stream events, two of which were presented by the OPM director.

In an environment where the spending of government dollars is under increasing scrutiny, the virtual conference offers an economical and effective alternative to the live conference. With the restrictions on conference travel, delivering a virtual conference is an innovative, cost-effective solution.

The lifespan of the virtual event extends beyond the actual delivery dates, since all of the conference presentations, PowerPoint shows, and transcripts are recorded and available on an archived site. The videos are supported with synchronized transcripts as well as standalone text-based documents to ensure accessibility. In the case of the HR conference, the material was available not only to the 2,400 paid participants, but also to over 4,800 HR professionals post-event, which adds a potential additional revenue stream.

Much as a real-world conference will often showcase vendor booths, the virtual conference offers the ability to house virtual “booths” for vendors as well. Vendors can post presentations, PDFs, movies, links, and other outreach material where it will be accessible by the attendees not only during the live event, but for the life of the archived site as well.
